For a furniture manufacturer, upholstery fabric selection is not only a color decision. The material must support the furniture design, intended use, upholstery process, commercial plan, and repeat-order requirements. Provide realistic consumption and production context without turning an early forecast into an unconditional commitment. Clarify the decision owners. Design may approve appearance, production engineering may approve sewing and upholstery behavior, quality may define incoming inspection, compliance personnel may review market requirements, and purchasing may approve commercial terms. 2. Turn design intent into a controlled sourcing brief

Evaluate the complete furniture item under controlled review conditions. Large surfaces may reveal shade, texture, pattern, or panel-to-panel effects that are not obvious in a swatch. Examine critical areas from agreed viewing distances and lighting conditions. If the buyer uses instrumental color information, define how it complements rather than automatically replaces visual approval of the finished product.
Document every sample. Record the supplier, item and color code, lot or sample reference if available, construction and treatment details, received date, brief revision, trial conditions, reviewer, status, and comments. Mark samples as rejected, development only, conditionally approved, or approved for a defined purpose. An unlabelled piece of fabric in a drawer is not a reliable production standard.
Retain enough approved material to support incoming inspection and dispute resolution, and protect it from contamination, fading, moisture, and uncontrolled handling. When a trial identifies a problem, describe the observed condition and its context instead of prescribing an unverified solution. 4. Plan color, pattern, and lot consistency

7. Control changes and repeat orders
